As business travel expenses nose upward, companies are realizing that better cost-management techniques can make a difference

US. corporate travel expenses rocketed to more than $143 billion in 1994, according to American Express’ most recent survey on business travel management. Private-sector employers spend an estimated $2,484 per employee on travel and entertainment, a 17 percent increase over the past four years.

Corporate T&E costs, now the third-largest controllable expense behind sales and data-processing costs, are under new scrutiny. Corporations are realizing that even a savings of 1 percent or 2 percent can translate into millions of dollars added to their bottom line.

Savings of that order are sure to get management’s attention, which is a requirement for this type of project. Involvement begins with understanding and evaluating the components of T&E management in order to control and monitor it more effectively.

Hands-on management includes assigning responsibility for travel management, implementing a quality-measurement system for travel services used, and writing and distributing a formal travel policy. Only 64 percent of U.S. corporations have travel policies.

Even with senior management’s support, the road to savings is rocky-only one in three companies has successfully instituted an internal program that will help cut travel expenses, and the myriad aspects of travel are so overwhelming, most companies don’t know where to start. “The industry of travel is based on information,” says Steven R. Schoen, founder and CEO of The Global Group Inc. “Until such time as a passenger actually sets foot on the plane, they’ve [only] been purchasing information.”

If that’s the case, information technology seems a viable place to hammer out those elusive, but highly sought-after, savings. “Technological innovations in the business travel industry are allowing firms to realize the potential of automation to control and reduce indirect [travel] costs,” says Roger H. Ballou, president of the Travel Services Group USA of American Express. “In addition, many companies are embarking on quality programs that include sophisticated process improvement and reengineering efforts designed to substantially improve T&E management processes and reduce indirect costs.”

As companies look to technology to make potential savings a reality, they can get very creative about the methods they employ.

The Great Leveler

Centralized reservation systems were long the exclusive domain of travel agents and other industry professionals. But all that changed in November 1992 when a Department of Transportation ruling allowed the general public access to systems such as Apollo and SABRE. Travel-management software, such as TripPower and TravelNet, immediately sprang up, providing corporations insight into where their T&E dollars are being spent.

The software tracks spending trends by interfacing with the corporation’s database and providing access to centralized reservation systems that provide immediate reservation information to airlines, hotels and car rental agencies. These programs also allow users to generate computerized travel reports on cost savings with details on where discounts were obtained, hotel and car usage and patterns of travel between cities. Actual data gives corporations added leverage when negotiating discounts with travel suppliers.

“When you own the information, you don’t have to go back to square one every time you decide to change agencies,” says Mary Savovie Stephens, travel manager for biotech giant Chiron Corp.

Sybase Inc., a client/server software leader with an annual T&E budget of more than $15 million, agrees. “Software gives us unprecedented visibility into how employees are spending their travel dollars and better leverage to negotiate with travel service suppliers,” says Robert Lerner, director of credit and corporate travel services for Sybase Inc. “We have better access to data, faster, in a real-time environment, which is expected to bring us big savings in T&E. Now we have control over our travel information and no longer have to depend exclusively on the agencies and airlines.”

The cost for this privilege depends on the volume of business. One-time purchases of travel-management software can run from under $100 to more than $125,000. Some software providers will accommodate smaller users by selling software piecemeal for $5 to $12 per booked trip, still a significant savings from the $50 industry norm per transaction.

No More Tickets

Paperless travel is catching on faster than the paperless office ever did as both service providers and consumers work together to reduce ticket prices for business travelers. Perhaps the most cutting-edge of the advances is “ticketless” travel, which almost all major airlines are testing.

In the meantime, travel providers and agencies are experimenting with new technologies to enable travelers to book travel services via the Internet, e-mail and unattended ticketing kiosks. Best Western International, Hyatt Hotels and several other major hotel chains market on the Internet. These services reduce the need for paper and offer better service and such peripheral benefits as increased efficiency, improved tracking of travel expenses and trends, and cost reduction.

Dennis Egolf, CFO of the Veterans Affairs Medical Center in Louisville, Ky., realized that the medical center’s decentralized location, a quarter-mile from the hospital, made efficiency difficult. “We were losing production time and things got lost,” he says. “Every memo had to be hand-carried for approval, and we required seven different copies of each travel order.” As a result, Egolf tried an off-the-shelf, paper-reduction software package designed for the federal government.

The software allows the hospital to manage travel on-line, from tracking per-diem allowances and calculating expenses to generating cash advance forms and authorizing reimbursement vouchers. The software also lets the hospital keep a running account of its travel expenses and its remaining travel budget.

“Today, for all practical purposes, the system is paperless,” says Egolf. The software has helped the hospital reduce document processing time by 93 percent. “The original goal focused on managing employee travel without paper,” he says. “We have achieved that goal, in part due to the efforts of the staff and in part due to the accuracy of the software.”

With only a $6,000 investment, the hospital saved $70 each employee trip and saved almost half of its $200,000 T&E budget through the paper-reduction program.

Out There

Consolidation of corporate travel arrangements by fewer agencies has been a growing trend since 1982. Nearly three out of four companies now make travel plans for their business locations through a single agency as opposed to 51 percent in 1988. Two major benefits of agency consolidation are the facilitation of accounting and T&E budgeting, as well as leverage in negotiating future travel discounts.

A major technological advance that allows this consolidation trend to flourish is the introduction of satellite ticket printers (STPs). Using STPs enables a travel agency to consolidate all operations to one home office, and still send all necessary tickets to various locations instantly via various wire services. As the term implies, the machinery prints out airline tickets on-site immediately, eliminating delivery charges.

For London Fog, STPs are a blessing. London Fog’s annual T&E budget of more than $15 million is split equally between its two locations in Eldersburg, Md., and New York City. Each location purchases the same number of tickets, so equal access to ticketing from their agency is a must. With an STP in their two locations, the company services both offices with one agency in Baltimore. Each office has access to immediate tickets and still manages to save by not having to pay courier and express mail charges that can range up to $15 for each of the more than 500 tickets each purchases annually.

Conde Nast Publications’ annual T&E budget of more than $20 million is allocated among its locations in Los Angeles, San Francisco, Chicago, New York and Detroit. Since 1994, travel arrangements have been handled by a centralized agency, Advanced Travel Management in New York City, by installing an STP in each of these five locations. In addition to increased efficiency due to consolidation, Conde Nast now has the ability to change travel plans at a moment’s notice and have new tickets in hand instantly.

The real benefit is that the machines are owned and maintained by the travel agency., so there is no cost to the company. Due to the major expense involved, however, STPs remain an option only for major ticket purchasers. “STPs are a viable option in this process for any location that purchases more than $500,000 per year in tickets,” says Shoen.

As airfare averages 43 percent of any company’s T&E expenses, savings obtainable through the various uses of technology have become dramatic. For example, the ability of corporations to collect and analyze their own travel trends has led to the creation of net-fare purchasing-negotiating a price between a corporation and an airline to purchase tickets that does not include the added expenses of commissions, overrides, transaction fees, agency transaction fees and other discounts.

Although most major U.S. carriers publicly proclaim that they don’t negotiate corporate discounts below published market fares, the American Express survey on business travel management found that 38 percent of U.S. companies had access to, or already had implemented, negotiated airline discounts. The availability and mechanics of these arrangements vary widely by carrier.

What’s the Price?

Fred Swaffer, transportation manager for Hewlett-Packard and a strong advocate of the net-pricing system, has pioneered the concept of fee-based pricing with travel-management companies under contract with H-P. He states that H-P, which spends more than $528 million per year on T&E, plans to have all air travel based on net-fare pricing. “At the present time, we have several net fares at various stages of agreement,” he says. “These fares are negotiated with the airlines at the corporate level, then trickle down to each of our seven geographical regions.”

Frank Kent, Western regional manager for United Airlines, concurs: “United Airlines participates in corporate volume discounting, such as bulk ticket purchases, but not with net pricing. I have yet to see one net-fare agreement that makes sense to us. We’re not opposed to it, but we just don’t understand it right now.”

Kent stresses, “Airlines should approach corporations with long-term strategic relationships rather than just discounts. We would like to see ourselves committed to a corporation rather than just involved.”

The Difference Between Article Spinning and Article Rewriting

Most people who understand how content on the Internet works will know that duplicate content is something that should never be contemplated: it is never a good idea to simply copy and paste existing content to another location. Plagiarism is frowned upon to the extent of carrying legal penalties for a considerable time. But the difference between article rewriting and article spinning (or content rewriting and content spinning) is important. Sometimes clients asked me for one when they meant the other, or vice versa.

Article rewriting and article spinning are not the same, either in terms of methodology or in result. And they can be very different in how much they cost, which must also be an important consideration for all who commission such work. And it certainly does not help that one major article spinning software application brands itself a rewriter when it is, very demonstrably, a spinner. (Chimp Rewriter take note!)

Article spinning should be undertaken when you want the same idea reproduced as different unique articles and published in several (perhaps hundreds) different places online. It is particularly useful in content marketing and in SEO, where the object is to get lots of quality backlinks from a good diversity of websites, back to your own website. The proliferation of social media in recent years means that the options for dissemination of an original idea into different unique forms can only expand.

There are hundreds of websites which could conceivably play host to your unique articles, each produced by spinning. Such a strategy would result in lots of people reading about this on their own media of choice and then perhaps following the link (physically, as a person) back to your own website. It would also mean (theoretically) a boost in raking for your website as a result of the links from all those different websites back to your own site or blog, as part of an SEO (search engine optimisation) strategy.

Spinning sets the original content (or article) down within a content spinning software application, and then dividing each of the parts of the content up into smaller parts, and then substituting each one of those for a synonym or a paraphrased wording; this may be done at the level of the word, the phrase, the clause, the sentence, and the paragraph. When all these variations are used together, the result is a unique article which would pass Copyscape (the final arbiter of uniqueness in the Internet Age) and so free you from any charges of plagiarism.

Content spinning should always be a manual process, and the person doing it should not only be a native speaker, but be highly tuned to the nuances of the language, and sensitive even to the tiny discordances which this process tends to produce at the best of times. This is because the end result would have to read as if it had been freshly written by a human.

If the person doing the spinning was not so endowed, or if (Heaven forbid) a raw consumer was gullible enough to set the spinner to auto mode, the result may be unique but it would not be readable. In fact there would be a high probability that the resulting rubbish would be so nonsensical as to place the owner’s website in ridicule. Better not to have begun such an enterprise at all.

What makes a good spun article is not the software but the person who is doing the spinning as a craft. The software is the necessary environment, capable of forming and understanding spun syntax, or spintax (or “spyntax”) and then able to output hundreds or even thousands of articles from the original document, usually substituting the alternative words and phrases in a random manner (although some spinners allow you to set to every nth variant).

But that is all it can do. Do not believe claims that such spinner endowed with artificial intelligence (AI) are able to produce hundreds of perfectly readable articles by means of a cunning algorithm, as if each had been written by a gifted human; that event is a whole generation away at the very least. Such claims are bogus, and are as nonsensical as the rubbish they produce, as the disappointment of everyone who believes them will attest.

The English language is not something to be reverse-engineered by an algorithm. No matter how clever the people who programmed it, it can never do the job that it claims. It may offer, as an example, the one article that came out right, but it will hide the other 999 articles which came out wrong.

The spinning process, theoretically, works perfectly well, but it can only be so when in the hands of a skilled and experienced person. You have to carefully watch each stage of the process. Two years experience is probably a bare minimum. You need to have made all the mistakes and understood them so that these are not made again.

Above all, you must understand that a synonym is a dangerous thing. You trust them at your peril. A classic example of this pitfall was in the demonstration video from the creators of an early version of SENuke, where the video’s narrator was demonstrating how his built-in spinner was very good at making substitutions, and chose the sentence “Trainers are worn on the feet” to show this. Almost immediately, he fell into the trap of facing a substitution of “worn” with the sense of “old and dirty”, illustrating exactly the problem that spinning carries with it when in the wrong hands.

For these reasons, article spinning is time-intensive. That is why it is relatively expensive, when compared to rewriting. With spinning, every word needs to be considered methodically. With rewriting, you just need to rewrite the article. But with rewriting you only have one new article; whereas with spinning you can have hundreds or thousands. If you only want one version of an article which you admire on your website then you should ask for a rewrite. You should not ask for this article to be spun. Similarly, if you want many hundreds of completely unique and readable articles then you would not want to pay for each of these to be rewritten individually: only then is spinning your answer, for reasons of economy, if nothing else.

Content spinning and content rewriting are two different skill sets. Sometimes the same person will have both these skill sets, but often they will not. You should not expect someone who is a writer, or a rewriter, to be able to spin; nor should you expect a specialist spinner to be able to write or rewrite an article.

You should only seek out expert professionals to do these things. The quality or standard should not be in question: it should be assumed that the quality should be excellent. Your only consideration in choosing one over the other is cost. Rewriting a 2,000 word article would cost only (for example) $80. Then you would have one article which you could call your own for $80. Spinning a 2,000 word article would cost (for example) $250. But at the end of it you would have 500 completely unique articles costing only 50 cents each.

Not everyone can rewrite content, and not everyone can spin content to a degree which is satisfactory. In the end, the client only has himself or herself to blame if they ask for one when they really want the other, and if they get the wrong person to do it.

So there you have it. First decide what you want. Then make sure you select a good professional to do it. If you make the right choice at both these stages then you will have yourself to congratulate when things go amazingly right. But ask for the wrong thing, or go to the wrong person…

Your FEELINGS command your behaviour. Every action that you take is first filtered through your feelings that reside in your subconscious mind. How you feel about something determines what you do and how well you do it. So where do your feelings come from?

Your ATTITUDES create and influence your feelings. Your attitude is your perspective from which you view life. Whatever attitude you have about anything will affect how you feel, which, in turn, affects how you act. Where do your attitudes come from?

Your BELIEFS create, control and influence your attitudes. What you believe about anything will determine your attitude about it, which will create your feelings, and then which will direct your behaviour and action. Belief patterns are so powerful that two people who are in the same situation could perceive things completely differently. It only requires us to believe what we see and how we see it. We all have thousands of beliefs – big and small. And where do your beliefs come from?

Your THOUGHTS create, control and influence your beliefs. Your thoughts are real and are immensely powerful. Everything you accept from the outside world and everything you feed yourself from within is a product of your thoughts. Everything starts as a thought.

So, it goes without saying you need to learn to control your thoughts. And when you do, you will automatically control your beliefs, your attitudes, your feelings and, consequently, your behaviour and actions.

Science of success experts have concluded that the brain is a goal-setting organism.

That is fantastic news for us: for whatever goal we give to our subconscious mind, it will work for us day and night, 24/7, to achieve it for us; to make it a reality.

The principal breakthrough that scientists made was that we do not need to waste our precious time and effort trying to change old thoughts and behaviours: we just simply create new ones.

And the other discovery they made was that we can continue to create new thoughts, new memories, new behaviours, new skills, and learn new things for as long as we are alive on this earth.

Our brain has the capacity to continually learn during our entire lifetime.

Time For A New Tribe? When to Leave Outdated Alliances For a Truly Supportive Community

Do you feel as if you’ve outgrown your circle of friends? Perhaps you do not feel safe or understood any longer. There may be fewer and fewer things you can share with people in your habitual circle, and it leaves you feeling lonely or isolated. If so, you are not alone. Welcome to one of the core dynamics of continuous growth!

As we continue to evolve, many of us struggle with a sense of not quite fitting in with our traditional community or tribe: we may have expanded or changed beyond the borders of tribal norms, and no longer find the same sense of belonging there. Other members may have tightened the tribal rules to foster a sense of security. As a result, we may feel a sense of disconnection or alienation.

In truth, each one of us belongs to many tribes simultaneously: there is your original tribe – the family you were born into – and then there are all the communities of choice you have joined: your work tribe, your social circles, your faith-based community, your neighborhood, and more. These communities are not static; they are in continuous flux because they consist of individuals who are in continuous states of change. When there is a lot of change happening in either the individual or the community, a sense of dissonance results.

How are we to deal with this? First, it is important to recognize that tribal allegiances were historically forged for survival. They were adapted over the course of centuries to ensure the safety and survival of the group. Survival required that individuation be sacrificed for the trade-off of security.

In modern society, the tables are flipped. Whether we enjoy it or not, change is essential for survival at every level of being. The pace of change is driven by technological advances and happens with increasing rapidity: sociologists estimate that more change has taken place in society over the course of the past 100 years, than in the totality of the previous 6,000 years. Individual adaptation now is a requirement for survival, and the pace of individual change does not always match the pace at which our various tribal communities evolve. The resulting dissonance can cause intense friction and pain.

Dissonance also results from confusion between the concepts of ‘connection’ and ‘community.’ We tend to equate one with the other, when they really relate to different qualities. Connection relates to connectivity: the objective physical technology or media that enables us to build community, but which does not represent the quality of that community. Connectivity simply offers the opportunity to connect with others through internet, texting, phone calls, or any other social networking options.

Community is the result of building relationship through meaningful interaction over time. There is no shortcut; it is a process that develops when bonds of trust and intimacy are nurtured and honored.

And here lies a caveat: When we confuse connectivity with community, we depersonalize the sacred nature of true community and start relating to people as objects. Instead of developing intimacy over time, we collect friends on social network sites or try to buy people’s allegiance. Yet friending is simply an act of connecting; it does not create intimacy.

In fact, social experiments indicate that technologically dominated connectivity results in alienation and social collapse over time. In a groundbreaking social experiment conducted by Josh Harris, one of the founders of social networking on the internet, he found that the more people’s private lives were exposed by 24/7 technology, the more their sense of intimacy and relationship deteriorated until the community collapsed in violence and self-destructive behavior.

It is time to revisit our concepts of community so we can create tribes that offer a true sense of intimacy and belonging.

In his 1987 book, The Different Drum: Community Making and Peace, psychologist M. Scott Peck described several core characteristics of true community. Beyond the obvious components of inclusivity, commitment and participatory consensus, Peck pointed out the quality of embracing diversity through realism. When each member contributes their unique viewpoint from a place of humility and goodwill, the community benefits from a broader perspective in which to better grasp the full context of a situation. In other words, mutual tolerance helps members to embrace one another’s different viewpoints as an integral part of the whole, instead of imposing a forced compliance to groupthink or cohesion.

In an environment like this, members experience and express compassion and respect for one another. They allow others to share their vulnerability, to learn and grow, and to express who they truly are. When conflict arises, they learn to resolve it with wisdom and grace. Members listen to and respect each others’ gifts, accept each others’ limitations, celebrate their differences, and commit to find solutions together rather than to fight against each other. Indeed, the true spirit of community is the spirit of peace, love, wisdom and power. The source of this spirit may be seen as an outgrowth of the collective self or as the manifestation of a Higher Will.

Does this description of community sound spiritual to you? It is indeed, because Spirit is the common denominator among all of us, regardless of how separate we feel from others.

As human beings, we often experience a socio-economic sense of separation from others because of different opinions, beliefs, expectations, language, culture, or interests, since each one of us expresses these in a way uniquely different from anyone else. And still, we continue to differentiate! In this ongoing process, we continue to evolve or devolve in response to life. A community that felt like a good fit last year may no longer work today; the places where we felt embraced, now may suffocate us. Over the course of a lifetime, we can expect to outgrow and change allegiances to many of the tribal communities we once belonged to.

And yet, when we transcend the layers of physical appearance, mental beliefs and socio-economic conditioning, we find in the presence of Spirit a common denominator in everyone around us. Perhaps it is time to expand our tribal definitions to embrace a spiritual community that includes all of mankind as children of God.

Mother Teresa admonished her nuns to see Jesus in every leper they encountered, to find His presence as they looked into the eyes of the homeless. When we can look past the issues that divide us to find omnipresent Divinity in each other, we will uncover the foundations of true community.

Spiritual community transcends all socio-economic borders, beliefs and backgrounds. It is inclusive because it operates on voluntary self-responsibility and mutual compassion, and its doors are open to everyone.

Building this type of community takes time: time to listen, to hear, to respond and to participate. Take a few moments to read the description of spiritual community again. Then, make time in your life to foster that type of connection with people who matter to you. You are one of the architects of community in your life, and you can participate in building a tribe where you belong.

Appointments – Manage Your Time Better At Home to Be Effective

What would happen to you if your home life was more organized than it is right now? Can work-life balance be achieved? What are the tools at our disposal? Could scheduling appointments and keeping them at home help us save time and prioritize?

What is the challenge we face? I sometimes find that time spent at home can be the busiest time, especially in the times we live in. Imagine someone working from home, home-schooling children, and sometimes even doing a side hustle. Imagine also the full-time home-based entrepreneur. How do they manage to do all they need to do in a day?. We are living in a time when many entrepreneurs and even company employees have adopted work- at – home culture. This comes with its challenges as the lines become blurred between home and work. These blurred lines and constraints on the limited resource called time result in over-worked, under-rested, burnt-out individuals. Whilst good time management has been encouraged and indeed, embraced in the workplace, I believe more needs to be done in changing the mindset for the elusive work-life balance to be achieved.

What are the tools at our disposal? To manage time effectively at home, there are many interventions one can employ including setting goals for the day, prioritizing wisely, setting a time limit for every task, organizing oneself, and instituting the discipline of appointments. Yes, an appointment at home! We can spend time pontificating on the pros and cons of each intervention, however, I believe we need to focus on appointments and see how this can powerfully change the course of one’s day regardless of whether it’s a workday or weekend. Life is busy as it is without any intrusions. The question is how do you handle the one who announces that they are at the gate. These can be friends, neighbors, a salesman of some product you do not even need. I am not promoting regimentation here but rather a culture of filling your day with what’s important. Everything that we succeed at is because we carefully plan and execute it. I am a firm believer that you cannot manage time if you do not manage yourself thus I implore you to incorporate planning and appointments into your repertoire. I am not talking about something I do not do. I have to achieve many things in a day therefore I set appointments with my work, others, and myself.

Could scheduling appointments and keeping them on the home front help us save time and prioritize? Whereas we have established that it is a normal business practice to set appointments and keep them, we need to abandon the liberal open-door policy of allowing all and sundry to have access to us as and when they please on the home front. Please understand where I am coming from. We each have greatness within us but for us to achieve it we need to culture great habits. Employing the use of appointments at home and seeing only those people you had agreed to see removes non-essential encounters especially during the most productive hours. I know this will vary with culture, geographical region, or even level of affluence, whether you live in a low density or high-density residential area, but doesn’t negate the need to be organized and effective. Controlling access determines how organized you are and how well you will work and rest when the time for scheduled rest comes.

What do we need to do differently? We need to be disciplined and diligent, learn to say no, now is not a good time, let’s make an appointment for next week. What are the benefits of this approach? You are not always fire-fighting to meet deadlines, You are not always tired because you have not taken time out to rest. You have set aside enough time to spend with your loved ones or a loved one. If you are a busy person, I am sure you appreciate what I am saying. Whether it’s time to work uninterrupted, family time, or “me-time”, it takes some kind of order to enjoy it.

I am not saying that those that come unannounced are bad people. No, not at all, they probably are people you enjoy spending time with. Nevertheless, there must be prior communication so that you can attend to your visitor(s) when it is convenient for both you and them. It can be quite disrupting and a whole day can just pass by without achieving anything that you had planned to do.

As we grow older we begin to appreciate that rest and recovery need to be scheduled. The fact that I am relaxing doesn’t mean that I don’t have anything to do. One therefore cannot assume that just because you are at home you are available. Maybe you have scheduled that time to rest. That is important. You need to make an appointment with yourself, spouses need to also set aside time for each other. Parents need to schedule a time to spend with their children. When you have some sort of order in your life you determine who sees you and who you see. It also means that your relationships will be healthy and that makes you a happier person.

In conclusion, I believe that the work-life balance can be achieved. There are many tools at our disposal just like it is in the workplace.I believe we could do more and be happier if we are disciplined enough to make only the commitments we can keep.I am certain that setting appointments and keeping them at home help us save time and prioritize.
